What can you expect for your event video turnaround time?

So, your company just put on a big event that you have been planning for months. Everything went great, everyone showed up, your team and your vendors executed their tasks perfectly, and all that time and money spent feels worth it. Momentum for your brand is rolling, and you need to keep that positive energy flowing. It’s time to share the experience with everyone who attended, and everyone who missed out. This is where the video and photo teams you hired need to excel.


Now more than ever it is important for event videography and photography to not only be high quality, but high speed. Clients need event photos and videos delivered quickly because the value of the images is highest immediately after the event. People are still talking about the event, sharing experiences, and engaging online. Posting visuals that day or within a fews days helps capitalize on that momentum.


When can you expect your event videos and photos to be delivered?


  • Realistically, it’s up to you. Set an expectation with your videographer and photographer before the event. If you want to start rolling out content that evening, or even during the lunch break, ask for it.

  • Communication is key. Laying out your content rollout plan with your video and photo team will allow them to make a game plan that meets those expectations.

  • The “industry standard” isn’t an answer. Sometimes you will hear the “industry standard” is around 3-4 weeks. By that time, your event is old news. If no one was able to see or replay the event soon after, it’s very possible you have lost that momentum.

  • Your content should be ready when you need it to be ready. If you know tomorrow is when you will get the most value from your content, then make that the deadline.

  • Time is money. It is worth noting that with quick turnaround expectations comes a bigger team. The production team will often need to hire an additional editor or two to simultaneously work through the media as it is being captured. This will increase the cost of your production package, but it will payoff in online engagement, event recognition, and  brand visibility.



24 hour photo turnaround

Quick event video turnaround time's are important for various reasons. While the expectation and need for speed is different for every event, we feel the longest it should take is one week. At the very least, you should be rolling out a short highlight or sizzle reel within 24 hours. Photos can and should be delivered even quicker. It is not unrealistic to ask for a condensed photo gallery immediately following your event.


In today’s crowded and fast paced digital word, you are hiring a video and photo team not just for great visuals, but also for timeliness. Timeliness is a major factor in post-event content's effectiveness. If this means your video and photo team are editing on-site, we suggest you leave a table open for them!




For this 3-day medical conference we covered in February the expectations were set ahead of time. They needed 40 photos delivered by 10 pm after each event day, a :90 sizzle reel delivered by Noon of the final day, and the full event highlight delivered within a week of the event's conclusion. Our 4 person team hit each deadline with no problems.
